6.3. Recording an expense
To enter an expense, you need to go to the “Expenses” section → Add expense.
Then a new expense page will open, where you need to enter the transaction information:
- Document date
- Document number
- Select file – you can optionally add the transaction document. Only one file can be attached.
1. Transaction document
You need to choose the transaction description. You can see the list of available options in the dropdown menu.
2. Transaction counterparty
- Country / Place of transaction
- Counterparty name – can be entered manually or selected from the list (coming soon). When filling in the name field, previously saved partners will appear as suggestions; when selected, the counterparty fields will be automatically completed. It is also possible to search for the counterparty in the Spanish Commercial Registry by entering its name in the "Counterparty name" field (coming soon)
Using the partner search form by name or registration number, the system allows you to find "Name", "Registration number", "VAT number" as well as "Address" and automatically fill in these fields (coming soon).
- Registration number
- VAT number (LV00000000000) (if applicable)
- Payment details
- Transaction amount
- VAT type (%) (if VAT payer)
- Total VAT (if VAT payer)
- Payment method
In the field “Payment method” you must choose:
- None – if the transaction is not paid and/or the document date does not match the payment date
- Bank – if the payment was made by bank transfer
- Cash – if the payment was made in cash
- Payment system (Revolut/Paypal) – if the payment was made via an electronic payment system
Once all income information is completed, you must SAVE the transaction.
After saving the transaction, it will appear in the general list of transactions for the corresponding period.
Copy and delete transactions
- To speed up the recording process, any transaction can be copied. In the section “Transactions”, select the transaction you want to copy and click the COPY button.
- To delete a transaction, go to the section “Transactions”, select the corresponding transaction from the list and click the DELETE button.
