5.5. How to add a payment to an income transaction

If the document date (income/invoice) does not match the payment date, when initially registering the transaction in the payment method field, you must select ,“None” and save the transaction.
When you receive the payment, you will need to add it to the transaction.

You can add the payment in two ways:

• Manually, by clicking the currency icon next to the corresponding transaction;
• By linking the transaction with the corresponding bank movement in the section “Banks”, provided you have added a bank account in the Banks section (available with PRO and PREMIUM

When adding a payment, you must indicate the payment date, select the payment method (Bank appears by default) and the VAT rate (if you are a VAT payer), as this may vary depending on the product or service and cannot be assigned automatically.

After adding the payment, 2 records for the same transaction will be shown in the income list, but income will only be recognized once from the payment. It is important that the payment method in the original transaction remains as “None”.

* In the income and expense ledger, 2 records will be reflected:

• The original transaction will be shown in column Y (Income not subject to taxation);
• The payment record will be shown in column V (income from other economic activities) or V1 (for farmers - coming soon).

The payment in the transaction is marked with a “chain” icon:

Invoice payment with payment linkIf the invoice is paid via a payment link, the invoice status changes to Paid, provided that the invoice date and payment date match.

If the invoice and payment dates do not match, then an income entry is recorded and linked to the invoice.

If the invoice is paid with a payment link and you have linked your bank account in CONTA.ES (only available in PRO and PREMIUM plans), the bank transaction will be automatically associated with the invoice or the payment record.

Limitations:

• In the BASIC and PRO plans, you have 5 payment links available in total.
• In the PREMIUM plan, you have 40 payment links available per month.
