5.2. Registering an income
To enter an income transaction in the “Income” section, you must click on “Add income”.
If you have two IAE codes, you can select the corresponding IAE category within the transaction. By default, the main IAE code will be indicated. This does not affect the economic activity book or reports.
Next, the New Income page will open, where you need to enter the transaction information:
- Document date
- Document number
- Select file – you can optionally add the transaction document. Only one file can be attached.
Transaction document
- Transaction description – the corresponding description must be chosen: Provision of services, Delivery of goods, and etcetera.
- Document type:
- Tax invoice
- Cash receipt or ticket
- Non-cash payment document
3. Comments.
If necessary, an internal comment can be added.
Transaction counterparty
The following fields must be completed:
- Country / Place of transaction:
- Spain – if the country/place of transaction is Spain
- EU – if the country/place of transaction is the European Union
- Other – if the country/place of transaction is a third country
- Counterparty name
The name can be entered manually or chosen from the list (coming soon).* When completing the name field, previously saved partners will appear as suggestions, and upon selection, the transaction partner's fields will be automatically filled. The partner can also be searched in the Spanish Commercial Registry by entering the name in the “Partner name” field. - Registration number
- VAT number (if applicable)
* Using the partner data search form by name, the “Name”, “Registration number”, “VAT number” fields will be automatically filled. If the search engine does not find the registration number or VAT number, they must be entered manually. These fields are not mandatory to save the transaction, but they are required to complete the economic activity ledger.
Payment details
- Transaction amount
- VAT type (only for VAT payers)
- Total VAT – calculated automatically (only for VAT payers)
Payment method
In the “Payment method” field, you must choose:
- None – if the transaction is not paid and/or the document date does not match the payment date
- Bank – if the payment was made by bank transfer
- Cash – if the payment was made in cash
- Payment system (Revolut/Paypal) – if the payment was made through an electronic cashless payment system
Once all income information is completed, the transaction must be “Created”.
5.2.1. After saving the transaction
The transaction will be displayed in the general list of transactions for the specified period.
5.2.2. Copying and deleting an income
To speed up the transaction entry process, each transaction can be copied or deleted.
To copy an income, you must click the COPY button.
To delete an income, you must click the DELETE button.
